Poster & Oral Submission Guidelines

Please read Abstract Submission Guidelines

You have two options to submit your abstract as Oral and or Poster as well as the option to submit as a member or a non-member. Once you log in to your SANS Conference Manager Dashboard, you can select from one of two forms:

1. 1. Member: you can submit with the $30 USD submission fee. Visit the Membership Page for more information on how to RENEW or ENROLL.
   2. Non-member: you can submit with the $75 USD submission fee.

Your abstract may be up to 3,500 characters including spaces and should include and identify section headers as follows:

• • BACKGROUND AND AIMS
  • METHODS
  • RESULTS
  • CONCLUSIONS
  • ACKNOWLEDGEMENTS AND FUNDING

To submit your abstract, please be prepared to provide the following information:

• • Your contact name, affiliation/institution name, and email address (please note authors may specify only one affiliation)
  • Enter all contributing authors in the order they should appear in the program. Please note – author names and affiliations will appear in the program EXACTLY as they are entered into the submission form.
  • Prepare an abstract title (max 250 characters limit, including spaces).
  • Prepare the abstract (max 3,500 characters limit, including spaces).
  • Select 2 keywords relating to TOPIC and 2 keywords relating to METHODS associated with the submission.
    • Topic keywords are preceded with a T.
    • Methods keywords are preceded with an M.
      Select keywords carefully as they will be used to match your submission with reviewers from our Abstract Review Board.
  • Use standard abbreviations for units of measure. Other abbreviations should be fully spelled out on the first mention, followed by the abbreviation in parentheses.
  • If you wish to copy and paste your abstract, please ensure it is in basic text format. Once your abstract is entered in the text box, you can format as needed. All abstracts must be submitted via the text box provided.

  By submitting an abstract, you agree to present at the Annual Conference, should your abstract be selected for the program.

This year, two Travel Awards are available to SANS Members Trainees. You may apply for either or both awards.

NIA TRAVEL AWARD for TRAINEES (New)

Trainees who are submitting conference abstracts are strongly encouraged to apply for a travel award supported by the National Institute of Aging at the National Institute of Health (NIA, NIH, USA).

All trainees are eligible to receive these travel awards. You do not need to currently study aging to be eligible – curiosity is enough!

For the 2027 conference, 15 awards in the amount of $1,300 USD/award are available. 

If you are interested in how aging might intersect with your current or future work, we strongly encourage you to apply. Trainees receiving these awards will participate in dedicated opportunities to engage with experts in aging research, including networking and mentoring activities during the conference and follow-up activities after the meeting. Application requirements are specified in the abstract submission portal.

Recipients of NIH Travel Awards will be afforded the following opportunities:

• Meet with a mentor at the conference who is an expert on the neuroscience of aging
• Participate in an idea hackathon aimed at developing research ideas incorporating aging
• Roundtable mentor-mentee discussion
• Engage in peer feedback circles throughout the year

EDIJ TRAVEL AWARDS for TRAINEES

The SANS Equity, Diversity, Inclusion, and Justice (EDIJ) Committee is pleased to offer 10 EDIJ Travel Awards for SANS 2027, each in the amount of $800 USD (up from $500 USD in previous years!).

Awards are open to trainees at all stages who are SANS members and are presenting at the meeting. Applications will be evaluated by the EDIJ Committee.

• Recipients of an EDIJ Travel Award at SANS 2024, 2025, or 2026 are ineligible.
• Must identify as being a member of a group that is underrepresented in social and/or affective neuroscience.
• To promote equity, diversity, inclusion, and justice (EDIJ), these funds will be awarded to students and scholars from underrepresented groups in our society. Furthermore, the society will offer opportunities for grant awardees to meet and interact with PIs who share similar scientific interests.

Trainees may apply for both an EDIJ Travel Award and the new NIA Aging Travel Award;

NIA awards will be decided first, and NIA recipients will be withdrawn from EDIJ consideration.

Awards are only being considered for first authors of conference abstract submissions.

GENERAL AWARD ELIGIBITILY: To be considered, applicants must at a minimal meet the below criteria:

1. Be enrolled in an undergraduate or graduate program, be engaged in postdoctoral studies, be a lab manager, or be another type of trainee.
2. Be a SANS student or postdoctoral member in good standing.
3. Be the first author of a conference abstract submission that has been accepted for presentation.
4. Attend the SANS 2027 Conference.
